Many commercial properties end up with keys copied from other keys over years of staff changes, until nobody can say with confidence what a given key actually opens. Master key system design starts from the opposite direction: an approved list of roles and openings comes first, and the keying follows it. Doors that genuinely need to share access are grouped under a sub-master; doors that do not stay on their own key. Once the hierarchy is agreed, the cylinders are pinned to match it, tested lock by lock, and handed over with a plain record so the business always knows which key belongs where.

    What a shared or multi-tenant building already has in place

    Where the property sits inside a larger building, the check looks at what is already shared: a condominium corporation's own lobby or garage system, a landlord's building-wide master, or another tenant's separate keying. The new hierarchy is designed to sit alongside those systems rather than to cut across them, so a tenant's own suite keeps its own private levels while common areas continue to answer to whoever already manages them. Sorting this out first avoids designing a system that quietly conflicts with access someone else controls.

    Handling a lost key discovered mid-project

    If a key turns up missing or unaccounted for while the assessment is underway, the affected level is dealt with before the rest of the design continues: the doors that key can reach are identified from existing records or, where none exist, from a physical walk of the property, and those cylinders are prioritized for repinning ahead of the rest of the schedule. Folding this into the same visit avoids a second project later to close a gap that was already known about.

    A chart that answers the question on its own

    Once the project is finished, a single question, who can get into this room, has a single answer, visible on the chart without needing to track down whoever issued a key years ago. Every level is listed against the doors it opens and the people or roles holding it, so the record stays useful long after the locksmith has left, rather than fading into the same guesswork the project was meant to replace.

Keyway chosen: standard or restricted
A restricted or patented keyway costs more in blanks and administration than a standard keyway, since duplication is controlled through the manufacturer's authorized record rather than cut anywhere. Higher-risk doors, such as records or cash rooms, often justify that additional control; lower-risk doors may not.
Sub-master levels beyond the basics
One or two sub-master levels are typical for most properties. A more elaborate hierarchy, with several sub-masters covering overlapping departments or floors, takes longer to design correctly and test, and that additional design and testing time is reflected in the quote.
Electronic locks alongside mechanical keys
Where keypad or card doors need to line up with the mechanical hierarchy, the quote includes the extra coordination of matching access levels across both systems and pinning any mechanical override cylinders into the same chart as the rest of the property.

Who should hold the top-level master key?

As few people as the business can genuinely operate with. Every additional holder is another way a full-access key can be lost, borrowed or copied without anyone deciding that should happen. A useful test during design is asking, for each proposed holder, whether they need to open every single door on the property or only a defined group; the second answer usually points to a sub-master instead.

Can key duplication be restricted so copies cannot be cut elsewhere?

Yes. With a restricted or patented keyway, blanks are only available through the manufacturer's authorized record, so a copy is not cut at an ordinary hardware counter without going through that channel. This does not make a key impossible to duplicate, but every legitimate copy passes through a record the owner controls, which a standard keyway cannot offer.

Can my existing locks be used, or do I need all new hardware?

Many existing cylinders can join a new hierarchy as they are, once their keyway and condition are confirmed compatible. Others, particularly older or mismatched hardware, are replaced so the whole system pins cleanly without cross-keying. The assessment identifies which doors fall into each group before any work begins, so the plan reflects what is actually on the property rather than assuming everything needs to change.
