How many keys should a business have, and who should hold them?

Fewer than most businesses think, and every one of them named. Two people who can open, one of whom can be reached on a day off, cover the door. Cleaners and contractors get a key only if they need one and hand it back when the arrangement ends. Write down who has what, collect keys when people leave, and rekey when one does not come back. Interior keys for the cash office or stockroom follow the same rule on a shorter list.

Do longer screws really make a difference?

A large one. Factory strike and hinge screws are usually short enough to grip only the jamb, a piece of trim about an inch thick. Three-inch screws pass through the jamb and the gap behind it into the stud, so a blow has to move the wall rather than the trim. Lock manufacturers supply reinforcement plates with three-inch screws for exactly this reason, and note that a door beside a sidelight needs a different arrangement because glass sits where the stud would be.

My key turns all the way round but the bolt stays put. What has broken?

The key and cylinder are doing their job; the bar behind the cylinder that drives the bolt, called the tailpiece or cam, has broken, slipped or twisted out of engagement. It is a small part. The locksmith retracts the bolt through the mechanism or removes the cylinder to reach it, then fits a tailpiece of the right length and profile. Your cylinder and keys are unchanged afterwards.

Can every door in the house work from one key?

Yes, provided the cylinders share a compatible keyway, which the locksmith checks when choosing hardware. New cylinders are pinned on site to a single new key and any existing locks worth keeping are repinned to match. Front, back, side and garage doors commonly end up on one key, and a shed or gate padlock can join them. You then decide how many copies exist and who holds each.
